Job Description : Paladin Technologies is in search of a driven individual to join our Project Accounting team and play a key role in managing projects, both big and small. The role requires a proven track record of managing multiple tasks in a busy work environment, working under pressure, prioritizing, proficiency working with ERP software, but most importantly, a willingness to learn! We are looking for someone with a positive can-do attitude who takes pride in their work and is looking to grow their career.
Review contracts and ensure projects are accurately set-up in the system and all commercial terms are properly reflected.
Review work-in-process reports (“WIP”) and conduct WIP review meetings with Project Managers to ensure timely billing.
Perform job cost reviews on a regular basis and review with Accounts Payable ensuring all vendor bills are reflected in a timely manner.
Produce customer invoices, credit notes, and back up documentation.
Produce and analyze trend and variance reports on projects, as needed.
Ensures project profitability is maximized for the project.
Identify areas of potential project gross margin improvement and ensure accurate recovery of all costs as defined in the contract and ensure non-billable costs are minimized.
Gather project accruals and provision information as needed.
Ensure appropriate operational efficiencies and controls are utilized to drive profitability.
Work directly with customers to ensure invoices have been received, approved, and actioned.
Aid in collection with Accounts Receivable, and resolves any inquiries arising from customer.
Perform other ad hoc accounting duties as assigned by the Manager.
Confirm approval with the Salesperson, Estimator and Department Manager on each project.
Set up project SOV breaking out scopes by materials and labor if requested.
Update job information, budgets, and Reseller Permits.
Request Certificate of Insurance – using Contracts insurance requirements.
File Preliminary Notices – using Contract’s job sheets.
Request Bonds – using Contracts Bond forms.
Welcome Letters including all project stake holders.
Add employees to each project.
Set up Cost Work Sheet, OCIP projects, set up using rate codes, coordinating payroll submission.
Affidavit, listing sub and materials used.
Subcontractor Onboarding – using Subcontractor Management Program.
Union Benefits Letter from Subcontractor in other states.
Schedule Kick off meeting with project Stake Holders.
Safety Document Submittal.
File Permits.
Reseller Permits.
Change Order Logs.
Waiver program
Minimum 2 years of experience in a project accounting role in a construction environment
Experience in a fast-paced, high-volume environment.
Technical and analytical accounting skills.
Proficient with Word, Outlook, and advanced Excel skills.
Construction project knowledge an asset.
Bilingual, is an asset.
Detail oriented, organized, able to problem solve, multitask, work effectively under pressure, meet deadlines, and prioritize workload.
Experience dealing with diverse clients in various industries.
Ability to effectively work in a team environment.
Self-starter and able to take initiative.
Receptive to coaching and willing to learn and develop skills.
Maintains the highest professional ethics and standards.
Excellent written and oral communication skills, interpersonal and client service skills.
Eager to learn and able to apply newly acquired skills for immediate results.
